This Privacy Policy explains how Accordhub Pvt. Ltd. (“Accordhub”, “we”, “us”) collects, uses, shares and protects personal data when you visit this website, enquire about a workspace, book a walkthrough or 1-Day Pass, or occupy a workspace at Kailash Tower, Tonk Road, Jaipur.

1. Who we are and which law applies

Accordhub Pvt. Ltd. (CIN U45201RJ2007PTC024824, GSTIN 08AALCS2627K2ZY) is a company incorporated in India under the Companies Act, with its registered office at 1st Floor, H. No. 52/209, VT Road, Mansarovar, Jaipur, Rajasthan 302020. Our workspaces operate from 5th Floor, Kailash Tower, Tonk Road, Lal Kothi, Jaipur, Rajasthan 302015. We act as a Data Fiduciary under the Digital Personal Data Protection Act, 2023 (“DPDP Act”) in respect of personal data we collect from you.

This policy is issued in accordance with the DPDP Act, the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and applicable rules on commercial communications. It is governed by Indian law.

2. Personal data we collect

We collect only what we need to respond to you, to assess a workspace requirement, and to operate the premises safely.

Enquiry and contact data: your name, phone number, email address, company name, team size, workspace of interest, preferred term and anything you write in the message field.
Booking data: the date and purpose of a walkthrough or 1-Day Pass, and who will attend.
Customer and billing data, if you take a workspace: authorised signatory details, billing address, GSTIN, PAN where legally required, invoicing and payment records.
Occupancy and access data: names of your team members and visitors, biometric access credentials where you opt into biometric access or attendance, entry and exit records, and visitor register entries.
Premises security data: CCTV footage from common areas of the floor and the building. Cameras are not placed inside private workspaces, washrooms or any private area.
Technical data: IP address, browser and device type, pages viewed, referring page and approximate location derived from IP, collected through cookies and similar technologies.
Communications: emails, WhatsApp messages, call records and notes of conversations with our team.

3. How we collect it

Directly from you, when you complete an enquiry form, call, message or email us, visit the premises, sign a workspace agreement, or register a visitor. Automatically, through cookies and server logs when you browse this website. From your organisation, when your employer or colleague provides your details as an authorised user, team member or visitor. If you provide someone else’s personal data to us, you confirm you are permitted to do so and have informed them of this policy.

4. Why we use your personal data

To respond to your enquiry and prepare a workspace plan and quotation.
To arrange and confirm walkthroughs, 1-Day Passes and site visits.
To negotiate, execute and administer a workspace agreement, including invoicing, GST compliance, payment collection and security deposit accounting.
To provide the services around the workspace: reception and visitor management, mail handling, IT support, housekeeping and access control.
To keep the premises and its occupants secure, including access control, the visitor register and CCTV monitoring.
To send you marketing and promotional communications about Accordhub workspaces and services, as described in section 5.
To maintain our books, respond to lawful requests from authorities, and establish, exercise or defend legal claims.
To understand how this website is used and improve it.

5. Marketing communications and your consent

This section is important, so it is stated plainly. When you provide your contact details to Accordhub for any reason — by submitting an enquiry form, requesting a 1-Day Pass, downloading the brochure, calling, emailing or messaging us on WhatsApp, registering as a visitor, or in the course of a workspace agreement — you agree that Accordhub and its authorised representatives may contact you with marketing, promotional and informational communications. These may be sent by telephone call, SMS, email, WhatsApp and other messaging platforms.

Such communications may cover workspace availability, pricing and offers, new locations and facilities, events, and other Accordhub services including our Alternative Dispute Resolution hearing rooms.

This consent is given voluntarily and operates alongside your registration preferences under the Telecom Commercial Communications Customer Preference Regulations, 2018. If your number is registered on the Do Not Disturb registry, you nevertheless consent to receive these communications from Accordhub, as our communications arise from your own enquiry and existing or prospective relationship with us.

You may withdraw this consent at any time, at no cost, by writing to sales@accordhub.in with “Unsubscribe” in the subject line, replying STOP to a WhatsApp message, or using the unsubscribe link in any email. We will action your request within a reasonable period. Withdrawal of marketing consent does not affect service communications that are necessary for an active workspace agreement — invoices, access notices, maintenance alerts and similar operational messages.

6. Legal basis for processing

Under the DPDP Act we process personal data on the basis of your consent, given when you submit your details to us, and for legitimate uses permitted by law. Where we process data to perform a workspace agreement, comply with a legal obligation, or protect the safety of persons and property on the premises, we rely on the corresponding legitimate uses recognised under the Act. You are not obliged to provide the data we ask for, but we may be unable to respond to an enquiry or provide a workspace without it.

7. Who we share it with

We do not sell your personal data. We share it only as set out below, and only to the extent required.

Service providers and Data Processors acting on our instructions: IT and hosting providers, CRM and email platforms, messaging and telephony providers, facility management, housekeeping and security agencies, and access control vendors.
The building owner or facility operator of Kailash Tower, where necessary for building access, parking and security.
Professional advisers: chartered accountants, auditors and lawyers, under duties of confidentiality.
Payment and banking partners, for collections and reconciliation.
Government and regulatory authorities, courts, police or other agencies, where disclosure is required by law or lawful order, including for tax, GST and security purposes.
An acquirer or successor entity, in the event of a merger, restructuring or sale of business, subject to this policy continuing to apply.

8. Cookies and analytics

This website uses cookies and similar technologies. Strictly necessary cookies make the site work and cannot be switched off. Analytics cookies help us understand which pages are visited and how the site performs. You can accept or reject non-essential cookies through the notice shown on your first visit, and you can clear or block cookies in your browser settings at any time; parts of the site may then behave differently.

9. How long we keep it

Enquiry data is retained while we are in discussion with you and for a reasonable period afterwards, so we can pick up the conversation if you return, unless you ask us to erase it. Customer, billing and tax records are retained for the periods required under the Companies Act, 2013, the Income-tax Act, 1961 and GST law, which is generally eight years from the end of the relevant financial year. Visitor register entries and access logs are retained for a limited period for security purposes. CCTV footage is retained on a rolling basis and overwritten in the ordinary course, unless it is required for an investigation or legal proceeding. When personal data is no longer needed and no legal obligation requires us to keep it, we erase it or anonymise it.

10. How we protect it

We maintain reasonable security practices and procedures as required under section 43A of the Information Technology Act, 2000 and the DPDP Act, including access controls on our systems, restricted physical access to records, confidentiality obligations on our staff and vendors, and encryption in transit for data submitted through this website. No system is completely secure, and we cannot guarantee absolute security. If a personal data breach occurs, we will notify the Data Protection Board of India and affected individuals as required by law.

11. Your rights

Subject to the DPDP Act and its rules, you have the following rights in respect of your personal data. To exercise any of them, write to us using the contact details in section 14. We may need to verify your identity before acting on a request.

The right to access a summary of the personal data we hold about you and how it is processed.
The right to correction of inaccurate or misleading data, and completion or updating of incomplete data.
The right to erasure of personal data that is no longer necessary for the purpose it was collected for, unless retention is required by law.
The right to withdraw consent at any time, including consent to marketing communications, with the consequence that we may no longer be able to provide the related service.
The right to nominate another individual to exercise your rights in the event of your death or incapacity.
The right to grievance redressal, and to escalate to the Data Protection Board of India if you are not satisfied with our response.

12. Children

This website and our workspaces are intended for business use by adults. We do not knowingly collect personal data of children under 18 years of age, and we do not undertake tracking, behavioural monitoring or targeted advertising directed at children. If you believe a child’s data has been provided to us, contact us and we will erase it.

13. Transfers outside India

Some of our service providers, such as email, hosting and analytics platforms, may store or process data on servers located outside India. Where this happens, we take steps to ensure the transfer complies with the DPDP Act and any restrictions notified by the Central Government, and that the recipient is bound by appropriate confidentiality and security obligations.

14. Grievance redressal and contact

15. Changes to this policy

We may update this policy from time to time. The revised version will be posted on this page with a new “last updated” date, and where the change is material we will take reasonable steps to notify you. Continuing to use this website or our services after a change takes effect indicates your acceptance of the updated policy.
